Common questions

What's the most useful thing to text a sales rep when a new lead comes in?

The company name, what they asked about, and a link to the record — nothing else. A rep getting a lead ping while in a meeting needs to know in three seconds whether this is worth stepping out for. "Globex Corp — inbound demo request" plus a link does that. Don't include the lead's personal contact details in the text — that belongs in the CRM, behind the link, where it's logged.

What happens if a rep doesn't respond to the lead alert?

You set up an escalation — the alert re-fires to a backup rep or manager after a time window. The rep replies to claim the lead; if nobody does within your configured window, the next ping goes to whoever you've set as the escalation contact. Your app handles the timer and the routing logic — RelayKit handles the sending. The escalation ping fires automatically once the window lapses.

Should demo reminders go to the prospect or to the rep?

To the prospect — the rep already has it in their calendar. Demo reminders work because the prospect forgot, not the rep. Send the day-before and hour-before reminders to the prospect's number. The rep gets the new-lead alert and the no-show follow-up; the prospect gets the confirmation and reminders. Keep the two flows separate.

Do I need to ask reps before texting them?

Yes — being part of your team doesn't automatically mean they agreed to receive texts. The right place to capture it is during account creation or their first login. The problem

US carriers require these from every business that sends texts. Getting approved can take weeks if not done right.

Registration

Before anything sends, your business gets registered in a central registry that every US carrier checks — legal name, tax ID, website, and what you plan to send. Details have to match your IRS records exactly, or the application bounces.

RelayKit collects this during setup and files the registration for you.

Carrier review

Reviewers check your registration and your messages against carrier rules before you're allowed to send. Other providers typically take two to three weeks — and every rejection restarts the clock, with no guarantee the next round clears.

Consent requirements

You have to collect and keep proof that every recipient agreed to get texts from you — how they opted in, when, and which kinds of messages they agreed to. Someone who signed up for appointment reminders hasn't agreed to marketing.
